Managing Leads
The Leads tab is your central database for all contacts. From here, you can search for individual people, edit their details, manage compliance, and export data.
Filtering & Searching
Your lead database can grow quickly. Use the filter bar to segment contacts based on their data.
- By Phone Number: Quickly find a lead who just called.
- By Tag: Filter leads tagged as "VIP," "Interested," or "Bad Number."
- By Last Call Outcome: See everyone who didn't answer (e.g., Status = "No Answer").
Editing Lead Variables
Sometimes you need to manually update a lead's information because the AI misheard something or you received new data.
- Click on the Lead's name or phone number to open the Lead Detail View.
- Scroll to the Custom Variables section.
- Click "Edit" to modify values like `first_name`, `email`, or custom fields like `appointment_date`.
- Save changes. The next time the AI calls this person, it will use the updated data.
Do Not Call (DNC) List
Managing opt-outs is critical for legal compliance. Caller AI has a built-in Global DNC list.
Automatic DNC
If a user says "Stop calling me," "Remove me from your list," or "Don't call again" during a conversation, the AI will automatically:
- Tag the call outcome as "DNC Request."
- Add the phone number to the Global DNC list.
- Block any future outbound calls to this number across all your campaigns.
Manual DNC
You can also manually add numbers to the DNC list via the dashboard if you receive an email or text request to opt out.
Exporting Data
To move data out of Caller AI (e.g., to upload into your CRM):
- Select the leads you want to export (or select "All").
- Click the Export button.
- Choose CSV Format.
The export will include the core contact info, custom variables, and a summary of their last call (duration, status, sentiment).
