Key Terminology
Understanding these terms will help you navigate Caller AI and get the most out of your calling automations.
Your custom AI caller that handles inbound and outbound conversations. You control its personality, tone, instructions, and logic through your System Prompt.
A batch of outbound calls to your leads. You can upload a CSV, connect Google Sheets, or sync from your CRM. Caller AI automatically dials, qualifies, tags, and updates outcomes.
A phone number callers can dial to reach your AI assistant. Caller AI supports direct rental, porting, or connecting through your existing phone system.
The number that appears on the recipient’s phone when your AI calls them. You can rent numbers in-app or verify your own.
Caller AI includes a built-in no-code automation engine. It works like Zapier but is native to your calling system. You can trigger workflows (send text, update sheet, push to CRM, tag lead) without writing code.
These are special capabilities your AI can use mid-call, such as transferring a call, booking an appointment, adding a note, ending a call, or sending a follow-up text. You choose which tools each assistant is allowed to use.
A collection of documents (PDFs, URLs, FAQs) your AI can reference in real time. Caller AI uses this information to answer questions accurately.
Data created after every call (e.g., call status, AI summary, transcript, intent, lead interest rating). These variables drive automations and CRM updates.
Dynamic information passed into each call, such as Lead Name, Phone Number, or Company. These are useful for personalizing scripts and workflow logic.
Each lead moves through stages such as Created, Scheduled, Processing, Completed, Rescheduled, or Max Retries. These statuses help you automate follow-ups and reporting.
A URL endpoint where Caller AI sends data in real time when an event occurs (e.g., call ended, appointment booked). This allows instant syncing with external systems.
Use Caller AI with your existing VOIP or PBX system. Perfect if your business already has a telecom infrastructure and wants Caller AI layered on top.
